ASSOCIATIONS, FOUNDATIONS AND NGOs

Increase capacity without exposing sensitive information.

Use controlled AI for administration, knowledge and reporting while keeping beneficiary, member, donor and programme information within an approved perimeter.

No beneficiary or donor data required for the first conversation.

Recognisable NGO and foundation situations

Important operational knowledge depends on a small number of key staff.

Programme and donor reporting consumes disproportionate staff capacity.

Staff use public AI tools informally without clear organizational guidance.

Member, donor or beneficiary requests repeat continuously.

Documents are distributed across disconnected cloud drives and tools.

The organisation cannot sustain a costly or complex enterprise IT project.

Board and management reporting material takes too long to consolidate.

New team members or volunteers struggle to learn internal operational procedures.

Appropriate first workflows

Institutional knowledge assistant for bylaws, charters, and operational policies.

Policy and programme document search across historical archives.

Drafting support for donor and grant progress reporting.

Document completeness checks for beneficiary or grant applications.

Drafting responses for recurring member, donor, or public enquiries.

Preparation of board briefing packs and decision summaries.

Proposal drafting support for grants, partnerships, and public subsidies.

Controlled AI-use governance and practical staff guidelines.

HUMAN SAFEGUARDS

What remains human

In non-profit and public-benefit organisations, human governance and mission fidelity cannot be outsourced to automation. The following responsibilities remain strictly human:

  • Direct beneficiary assistance and support decisions.
  • Funding allocations and grant awarding decisions.
  • Safeguarding and vulnerable beneficiary protection decisions.
  • Sensitive stakeholder, donor or public communications.
  • Legal interpretation of bylaws, contracts and statutory duties.
  • Operational programme oversight and impact measurement.
  • Final approval of donor commitments and financial statements.
SERVICE STAGE MAPPING

How Diagnose, Deploy and Operate apply to non-profit entities

Stage 1

Diagnose

  • Identify repetitive tasks and audit current informal AI usage.
  • Define sensitive data perimeters (donors, members, beneficiaries).
  • Ensure leadership and board alignment prior to resource commitment.
  • Establish mandatory human control and traceability criteria.
Stage 2

Deploy

  • Deploy an initial assistant for a high-priority document workflow.
  • Ensure secure, role-based access to internal documents.
  • Provide dedicated training for users and operational leads.
  • Document procedures and secure clear source citation logs.
Stage 3

Operate

  • Maintain and refresh institutional knowledge bases continuously.
  • Streamline onboarding for new staff members and key volunteers.
  • Hold periodic refresher sessions and review adoption metrics.
  • Ensure ongoing skill retention and internal knowledge transfer.
MISSION GOVERNANCE

Who is accountable, concretely

Your board and your donors deserve to know exactly who is behind this. You work directly with a named founder, not a support queue.

Enrico Bartolotti founded Cytria Sàrl in Geneva after more than twenty years designing and operating computing infrastructures for regulated Swiss industries. He has led operations, digital transformation programs and business development projects across finance, manufacturing and professional services. An alumnus of IMD Business School and the New York Institute of Technology, he began his career at CERN before spending nearly a decade with Reuters.
